Getting contacts in

There are three ways to get contacts into Konvox:

  1. CSV import (Contacts page) - upload a file, review the column mapping (Konvox auto-detects common columns like email/name/company, but you confirm or fix it before anything is saved), choose how to handle duplicates (skip, overwrite, or merge), and optionally enroll everyone straight into a campaign.
  2. Lead Finder - search Konvox’s own enriched company/contact database by industry, job title, location, and more, then import matches directly. Coverage varies by country; ask support if you’re not sure your market is covered yet.
  3. API / CRM sync - push contacts in programmatically, or connect Odoo/HubSpot to pull leads automatically. See Integrations & API.

A contact needs a valid email address to be enrolled in an email-step campaign. If a row’s email landed in the wrong column (common with copy-pasted LinkedIn exports, where a name ends up where the email should be), Konvox skips that contact at enrollment time with a clear reason rather than silently creating a contact that can never be reached.

Custom fields

You can track anything CSV/CRM data throws at you - deal stage, source campaign, an internal lead score - as a custom field on a contact.

Register the field before you import it. Custom fields work as a two-step process: first the field has to exist (create it inline during the CSV mapping step, or ahead of time under Settings), then a column with that name is recognized on import. If you map a column to a field name Konvox doesn’t already know, that column is silently dropped rather than imported - so if you’re importing “Deal Stage” for the first time, create the custom field first (or do it inline in the mapping screen, which does the same thing without leaving the import flow).

Once a field exists, it’s usable everywhere: segment filters, message personalization ({{dealStage}} in a template), and as a toggleable column on the Contacts table.

Segments (saved lists)

Segments are reusable filter conditions on your contact list - “job title contains VP AND industry is SaaS,” for example. Two kinds:

  • Smart lists - membership is computed live from your filter rules. Toggle this on when creating the segment; if you don’t, you get a static, empty list that never auto-populates.
  • Static lists - a fixed set of contacts you add manually.

Segments are the unit you enroll into a campaign from, so build a segment before targeting a specific subset.

ICP profiles (scoring)

An ICP (Ideal Customer Profile) profile scores every contact 0-100 against a set of weighted rules, so you can filter to “only the good fits” before you spend outreach budget on them.

Build one two ways:

  • AI questionnaire - a multi-turn conversation (not a form) that ends in a full narrative description plus scoring rules you review and can edit before saving.
  • Manual rules - field + operator + value + weight, e.g. jobTitle contains "VP" → +40. Valid operators: contains, notContains, equals, startsWith, endsWith, regex. Weight can be negative (a disqualifier, like “industry equals recruiting → -50”).

Score = sum of matching rule weights, normalized to 0-100 against the maximum possible positive score. A contact matching zero rules scores 0; there’s no partial credit for “close.”

Attach an ICP to a campaign (optional, on the campaign creation page) and every contact enrolled through it gets scored automatically. You can also score your existing contact list against an ICP any time via the AI assistant (“score my contacts against this ICP”).

Click any contact to see their full picture in one place: all fields (including custom fields), their ICP score, every message sent/received across every channel, an activity log (opens, clicks, LinkedIn connects), which campaigns they’re enrolled in and at what step, and your own notes.
